Member Management

Effectively managing your church members is key to building community and enabling ministry. SoapBox provides tools to track, engage, and care for every person in your congregation.

Member Directory

Accessing Members

Go to Admin > Members to see your full congregation.

Directory Views

Search & Filter

Find members quickly:
  • Search by name or email
  • Filter by role, group, or status
  • Sort by various criteria
  • Save custom filters

Member Profiles

Profile Information

Each member profile includes: Basic Info
  • Name and photo
  • Contact information
  • Birthday
  • Join date
Church Connection
  • Groups joined
  • Serving areas
  • Events attended
  • Giving history (admin only)
Activity
  • Recent posts
  • Prayer activity
  • App engagement
  • Last active date

Viewing Profiles

  1. Click a member’s name in the directory
  2. View their full profile
  3. Access tabs for different information
  4. Take actions as needed

Editing Profiles

Admins can edit member information:
  1. Open member profile
  2. Click Edit
  3. Update fields
  4. Save changes
Some information (like giving history) is view-only and cannot be edited.

Adding Members

Manual Addition

New Member

Click Add Member in the directory.

Enter Information

Fill in:
  • Name (required)
  • Email (required for invitation)
  • Phone (optional)
  • Additional fields

Send Invitation

Choose to send invitation email or not.

Save

Member is added to your directory.

Bulk Import

Import many members at once:
  1. Go to Members > Import
  2. Download template CSV
  3. Fill in member data
  4. Upload completed file
  5. Map columns to fields
  6. Review and confirm import

Member Invitations

Sending Invitations

Invite members to join SoapBox: Individual Invite:
  1. Find member in directory
  2. Click Send Invitation
  3. Customize message (optional)
  4. Send
Bulk Invite:
  1. Select multiple members
  2. Click Invite Selected
  3. Review list
  4. Send invitations

Invitation Status

StatusMeaning
Not InvitedNo invitation sent
InvitedInvitation sent, not accepted
ActiveAccepted and active
DeclinedDeclined invitation

Resending Invitations

For pending invitations:
  • Resend with one click
  • Track invitation attempts
  • Set invitation reminders

Member Roles

Assigning Roles

Find Member

Search in directory.

Open Profile

Click to view profile.

Edit Roles

Click Manage Roles.

Select Roles

Add or remove roles.

Save

Changes take effect immediately.

Family Connections

Link family members together:
  • Spouse relationships

  1. Open a member’s profile
  2. Go to Family tab
  3. Click Add Family Member
  4. Search for existing member or create new
  5. Define relationship
  6. Save

Member Communication

Direct Messages

Contact members directly:
  1. Open member profile
  2. Click Message
  3. Write and send

Email

Send emails to members:
  1. Select member(s)
  2. Click Send Email
  3. Compose message
  4. Send

Bulk Communication

Message groups of members:
  • Filter directory
  • Select multiple
  • Choose communication method
  • Send to all selected

Member Care

Notes

Add pastoral notes to profiles:
  • Counseling notes
  • Care needs
  • Follow-up items
  • Private information
Notes are visible to pastoral staff only. Use discretion and maintain confidentiality.

Follow-Up

Track care needs:
  • Create follow-up tasks
  • Assign to staff
  • Set due dates
  • Track completion

Member Status

Special status indicators:
  • New (recent join)
  • Regular (active attender)
  • Inactive (needs re-engagement)
  • Special care (pastoral attention)

Data Management

Exporting Data

Export member data:
  1. Go to Members > Export
  2. Select fields to include
  3. Choose format (CSV, Excel)
  4. Download file

Data Privacy

Respect member privacy:
  • Control who sees what
  • Honor communication preferences
  • Secure sensitive data
  • Comply with regulations

Data Cleanup

Maintain data quality:
  • Merge duplicate records
  • Archive inactive members
  • Update outdated information
  • Remove incomplete records

Custom Reports

Build your own reports:
  1. Go to Reports > Custom
  2. Select fields
  3. Set filters
  4. Generate and save

Best Practices

Regularly update contact information. Outdated data leads to missed connections.
Monitor who’s active and who’s not. Reach out to inactive members.
Document important pastoral information while respecting privacy.
Periodically review and clean your member database.
Only share member information on a need-to-know basis.
